We understand that plans can change, and we strive to make our refund process clear and fair. This Refund Policy outlines the terms for cancellations, refunds, and changes to bookings made through our services. 1. Overview

Our boutique travel services include custom itineraries, accommodations, guided tours, and other travel arrangements. Because we work with local partners in Thailand to create personalized experiences, our refund terms depend on the specific services booked, such as lodging, activities, or transportation. We aim to balance flexibility for you with fairness to our partners, many of whom are small businesses or local guides.

2. Cancellation by You

We get it—life happens. If you need to cancel your trip or specific services, here’s how it works:

Cancellations More Than 60 Days Before Travel: If you cancel at least 60 days before your trip’s start date, we’ll refund 90% of the total amount paid, minus a non-refundable deposit (typically 10% of the booking cost) to cover planning and administrative fees. For example, if you booked a custom itinerary with a local guide, we retain the deposit to compensate for their reserved time.

Cancellations 30–60 Days Before Travel: Cancellations within this window are eligible for a 50% refund of the total amount paid, as our partners (e.g., boutique hotels or private boat operators) may have already committed resources. The non-refundable deposit and any non-recoverable costs (like pre-paid permits) will be retained.

Cancellations Less Than 30 Days Before Travel: Refunds are unlikely within 30 days, as most arrangements (e.g., villa bookings or guide schedules) are non-refundable at this stage. However, we’ll work with you to explore alternatives, like rescheduling or partial credits, based on our partners’ policies.

No-Shows or Early Departures: If you don’t show up for a booked service or leave a trip early, no refunds will be issued, as costs are fully committed to our partners.

We’ll confirm receipt and process your refund (if applicable) within 14 business days, using the original payment method unless otherwise agreed.

3. Changes to Your Booking

Need to tweak your plans? We’ll do our best to accommodate changes, like adjusting dates or swapping activities, subject to availability and our partners’ terms:

Changes More Than 60 Days Before Travel: Most changes are free, though additional costs may apply if the new services are pricier (e.g., upgrading to a luxury villa). We’ll confirm any price differences before proceeding.

Changes 30–60 Days Before Travel: Changes may incur a $50 administrative fee per modification, plus any cost differences. Some services, like pre-booked cultural events, may be non-changeable.

Changes Less Than 30 Days Before Travel: Changes are subject to availability and may not be possible due to partner commitments. If approved, a $100 fee per change may apply, plus any additional costs.

4. Cancellations or Changes by ThaiChaba LLC

Sometimes, unforeseen circumstances—like extreme weather or partner unavailability—force us to adjust or cancel services. If this happens:

Modifications: We’ll offer comparable alternatives (e.g., a different guide or similar accommodation) at no extra cost. If the alternative is less expensive, we’ll refund the difference.

Cancellations: If we must cancel your entire trip (rare, but possible due to events like natural disasters), we’ll provide a full refund of all amounts paid, including deposits, within 14 business days. Alternatively, you can opt for a credit toward a future trip, valid for 12 months.

Partial Cancellations: If only part of your itinerary is affected (e.g., a specific activity), we’ll refund the cost of that service or offer a substitute of equal or greater value.

We’ll notify you immediately via email or phone if changes or cancellations are needed and work to minimize any disruption.

5. Non-Refundable Services

Some services, like special permits for national parks, festival tickets, or custom-crafted experiences (e.g., private ceremonies), are non-refundable once booked, as our partners incur upfront costs. We’ll clearly mark these during the booking process. If you’re unsure, ask us before confirming your itinerary.

6. Travel Insurance

We strongly recommend purchasing travel insurance to cover unexpected events like illness, flight cancellations, or emergencies. Insurance can protect you from losses if you need to cancel for reasons outside our refund policy. We can suggest reputable providers, but it’s your responsibility to secure coverage.

7. Force Majeure

ThaiChaba LLC isn’t liable for cancellations or changes due to events beyond our control, such as natural disasters, political unrest, or health crises. In these cases, we’ll work with you and our partners to offer credits for future travel or partial refunds where possible, but full refunds aren’t guaranteed if funds have been paid to non-refunded partners.
